DLF WordPress IV Proposal

This proposal was agreed to in a phone call with Louisa and Rachel on 4/22/13. This course was reaffirmed in an email from Louisa on 5/13/13.

In April 2013 CLIR decided to simplify the DLF presence on its own WordPress and move more of the DLF presence to the CLIR site. I was asked me to carry out this transition because of my past involvement with the DLF site. Louisa Kwasigroch shared a description of the content DLF would like migrated and maintained to offer guidance for the scope of this project. The transition would include the implementation of a fresh WordPress theme for the DLF site.

This proposal describes the deliverables, costs, and timeline for updating the DLF website to accomodate these changes and documenting the site for current and future staff.

Task

CLIR/DLF staff have asked for the following changes to the DLF site:

  1. refreshing the theme, possibly with http://mysitemyway.com/theme/construct-wordpress-theme/
  2. focussing emphasis of the site on the Forum and community news
  3. adding a place for blogs/messages from the community (edited and posted by CLIR/DLF staff), including reports from scholarship winners, meeting notes/conference reports, member spotlight, etc…
  4. greater prominence for the community calendar maintained at Google
  5. better management of spam comments and users

CLIR/DLF staff proposed the following potential new navigation hierarchy for the DLF site:

Deliverables

This task would be planned during April 2013 executed during May and June 2013 and finalized and rolled out in July 2013. Some of the tasks would require consultation with CLIR staff.

Deliverable 1: precise definition of content for new site.

Cost: $300

Timeframe: April 2013

Discuss the list above with CLIR/DLF staff to make sure we all agree on what is included in each part of the site. Document this agreement on a wiki page here so that everyone then our common goals for the site.

Deliverable 2: generate a temporary site to test new theme and structure.

Cost: $1,600

Timeframe: May and June 2013

The primary DLF site has to continue to serve the community while we are developing the new site, so a temporary test site must be created. This will be done using the same DreamHost account that hosts the live site, but a slightly different URL.

Once the site is in place, I will install the new theme and rearrange content to reflect the April agreement. CLIR/DLF staff will be welcome to review this work at any time and offer feedback, but I will also notify them when I consider it complete and ready for critique.

Deliverable 3: revise test site and move to permanent URL.

Cost: $1,500

Timeframe: July 2013

Gather feedback and discuss issues with the test site, make revisions, and review.

Implement redirections from existing diglib.org content to new locations in the new DLF site or over in the revised CLIR site.

Once ready, test site would be moved over to the permanent diglib.org URL.

Deliverable 4: documentation and training.

Cost: $700

Timeframe: August 2013

Revise the DLF website handbook and provide phone or skype orientation for CLIR/DLF staff.

Deliverable 5: four months support.

Cost: $600

Timeframe: September to December 2013

WordPress is relatively easy to manage and has been getting simpler to work with as it matures. However, the theme will be relatively new to DLF and the fall DLF Forum will be a particularly sensitive time for the organization. I would be available for tasks including:

  • limited theme changes to accomodate evolving practice
  • availability to answer website related questions by phone and email
  • occasional troubleshooting of content issues (fixing HTML in posts or pages)

Scope

Note that some content will migrate from the DLF site to the CLIR site. This project will not include any of the changes to the CLIR site. Those changes will have to be carried out by CLIR/DLF staff. However, links from the DLF site over to the CLIR site are within the scope of this project.

Summary

As a consultant, I do not charge by the hour. The costs above will be charged as a flat rate. These costs total $4,700, though a discount could be considered if CLIR requires this. I will submit an invoice for $900 at the end of May, $1,000 at the end of June, 1,500 at the end of July, $700 at the end of August, and then an invoice for $300 every other month (October and December) for the ongoing support.
